Sales and Collections Automation for Real Estate Developers

Every flat, every buyer, every rupee in one place.

I build real estate collection management software for developers in Mumbai and across India: payments matched to flats, dues worked out from construction progress, and broker leads that can’t be disputed. It reads from the Tally your accounts team already uses, so they don’t have to change how they work.

The daily manual work in a developer’s office

A developer’s data lives in two worlds. Payments sit in Tally, while flats, prices and buyers sit somewhere else, usually Excel. Someone ties each payment to a flat by hand, working from a free-text reference that may not say much.

Then come the awkward cases. A bounced cheque creates two entries that distort money received. Dues depend on construction progress, GST and the agreed schedule, worked out unit by unit. Two brokers claim the same buyer. When the regulator’s report is due, or a buyer asks what they still owe, getting the answer is a job in itself.

What a developer should automate

  • Payment matching. Vouchers read from Tally in small date batches, tagged by channel and matched to a flat. See the sales and collections system.
  • Bounced cheques. Paired with the receipts they reverse, by cheque number, amount and date, with unclear cases left for review.
  • Dues tracking. Agreement value, GST, stamp duty, TDS and slab-wise schedules worked out for every flat.
  • Broker and walk-in leads. A unique code the moment a lead is entered, so “whose lead is this?” has one answer. See the channel partner lead portal.
  • Payment reminders. Buyers with overdue instalments get a polite message on WhatsApp. See WhatsApp payment reminder automation.
  • Site purchase approvals. Site requests approved with one tap, with a record of who approved what. See purchase approval automation.
  • The owner’s morning view. Collections and exceptions in one short message. See the daily business briefing.

Real estate collection management, checked against Tally

Instead of replacing your accounts or asking your team to enter every receipt a second time, I built this the other way round. A small desktop uploader sits on the accounts PC, reads payment vouchers from Tally and sends them to the web app, with duplicates ignored. Your accountants carry on in Tally.

Six payment channels are tagged automatically, including UPI, NEFT, RTGS and cheque. Narrations are messy and hand-typed, so the rules run in priority order with a safe fallback, which means no payment disappears because nobody could read it.

Each flat then has one page showing the price breakdown, money received, what’s due and the receipts behind it. The MahaRERA sold, booked and unsold report comes out in one click, on screen or in Excel. Reports can be run as of any past date, using the construction progress that applied then.

Tools that fit a developer’s office

These systems sit on TallyPrime, Excel and WhatsApp, and connect through Tally integration rather than replacing anything. Supplier invoices for concrete and steel can be compared with deliveries and flagged. If you’re looking at a larger system across sales, collections and purchase, see custom ERP development.

Questions people ask.

Yes. A small uploader on the accounts PC asks Tally for payment vouchers in date batches and sends them to the web app, ignoring duplicates. Your accounts team keeps entering receipts in Tally exactly as they do today, and nobody enters a payment twice.

Each bounce is matched to the receipt it cancels by cheque number, amount and date, and repeat bounces are paired in date order. Unclear cases are left for a person to review. Money received stays correct, and nobody has to adjust the flat’s dues by hand.

Yes. The MahaRERA sold, booked and unsold inventory report is available on screen and in Excel in one click. It can also be produced for a past date, using the construction progress that applied at that time, which helps when you need to look back.

No. Brokers and receptionists see only their own leads, and that limit is enforced at both view and query level. Reception can verify a lead code without seeing another person’s buyer, so a disputed lead has a clear record behind it.

My projects run from ₹50,000 to ₹10 lakh, depending on scope. A single module sits lower in that range, and a full sales and collections system with dues, reports and a Tally uploader sits higher. You get a fixed quote after the free audit call.
