Automation for CA and Accounting Firms

Less typing for your staff. More time for review.

I build software for CA firms that takes the repeated work off your staff: bank statement entry, invoice entry, GST matching, document chasing and client MIS. I’m based in Mumbai and work with firms across India, and every tool proves its output against a source your partners already trust.

The manual work inside a CA office

The week tends to look the same. Bank statements arrive as PDFs in a different layout for each bank, and someone copies thousands of UPI, NEFT and IMPS lines into Excel and then Tally. Purchase bills arrive as PDFs and phone photos. GSTR-2B gets matched against the purchase register by hand, one supplier at a time.

Then the deadlines start. Staff chase clients for documents, partners ask who is waiting on what, and the same MIS gets rebuilt in Excel for each client. None of this is advisory work, but it fills the month. It’s also high-volume, rule-based and repeated for every client, which is exactly where automation saves the most time.

CA firm processes worth automating

My article on the 5 processes every CA firm should automate first covers where to begin if you can only pick one.

Why accounting automation has to be checkable

A partner signs off on the numbers, so a tool that’s usually right isn’t good enough. Every system I build for accountants proves itself against something outside it. The statement converter stops with a clear reason if a single row’s balance breaks, and it refuses scanned images rather than misreading them. The analytics product checks totals against Tally’s trial balance to within ₹1, and it caught ₹23.75 lakh of inflated sales from order vouchers on test data.

AI gets the same treatment. It fills in the entry, a person checks it beside the original, and posted invoices are locked against double posting. Anything uncertain goes to a review queue instead of into the books.

Tools that fit a CA practice

I start from what your office already uses: TallyPrime (with Tally integration for multi-company setups), Excel, GSTR-2B files from the GST portal, and WhatsApp for client communication. If you have practice software, a tracker can sit beside it and handle deadlines and document collection. Most firms are better off starting with one process and adding more through wider business automation services.

Questions people ask.

Start with whatever your staff repeat most for every client, which is usually bank statement entry or purchase invoice entry. One focused tool pays back sooner than a large practice suite. On the free audit call I’ll look at your volumes and tell you honestly where to begin.

Yes. The analytics product has a company picker on every screen, built for multi-company groups and CA firms. GST reconciliation can run across all client companies and show one status board, so partners see the whole firm without asking each staff member for an update.

Access is role-based, documents are stored privately, and staff see only the clients assigned to them. In multi-user products every query is scoped to the signed-in user. You own the system and the data, and AI providers can be set up so nothing is used for training.

Rarely. Clients keep sending documents the way they do now, usually on WhatsApp or email. The change happens after the documents arrive, inside your office. The main thing clients notice is a clear checklist before each deadline and fewer repeated calls from your staff.

My projects run from ₹50,000 to ₹10 lakh. A single tool for one process sits near the lower end, and a firm-wide setup across many clients sits higher. You get a fixed quote after the free audit call, so the number is agreed before work starts.
